Your $2,500 setup is refunded if we miss either window.

All timers below start the moment you grant us read-access to your Sage 100 Contractor server (per our security spec — read-only, IP-allowlisted, dedicated service account). The clock is on us, not on contract signing.

1. Live data window — 48 business hours

Within 48 business hours of you granting server access, your Sage 100 Contractor data is queryable in DataXcel. Every job, every cost code, every dollar. If we miss this, your $2,500 setup is refunded.

2. First custom dashboard sign-off — varies by tier

Clock continues from server access (overlaps with the 48-hour window). If your team hasn't signed off on the first custom dashboard from the agreed scope within the tier window below, the $2,500 setup is refunded.

  • Small-to-mid (under $50M revenue, $499/mo)4 weeks
  • Mid-market ($50M–$200M, $699/mo)6 weeks
  • Enterprise ($200M+, $1,499/mo)8 weeks

Enterprise window covers the first custom dashboard sign-off, not the full 60+ dashboard build. Typical Enterprise engagements run 1–2 months for the full scope after the first dashboard ships.

3. Refund process

Email refund@xcel.software from the email address on your signed SOW. We refund the $2,500 setup fee within 5 business days via the original payment method. Your subscription continues at the agreed monthly rate — only the one-time setup fee is refunded.

4. Exclusions (clock pauses)

We can't deliver on the timeline if the customer-side blockers below come up. In any of these cases, the clock pauses; it resumes when the blocker clears:

  • Server access is revoked, restricted, or rotated mid-build without 24-hour notice.
  • Customer review of a sign-off request pending for more than 5 business days.
  • Customer-requested scope changes mid-build (these get re-quoted; the original SOW timer pauses until the change order is signed).
  • Force majeure — regional outages, customer infrastructure failure, third-party SaaS dependencies (Sage 100, AWS, etc.) outside our control.

We find $2,000 in 60 days — or your subscription is refunded.

In your first 60 days, DataXcel will find at least $2,000 in missing change orders, unallocated equipment costs, labor inefficiencies, aging AR, or lien/bond filings caught before deadline. Or we refund every dollar of your annual subscription AND you keep your custom reports for the rest of the year.

How it works

  • Within your first 60 days from go-live, we walk you through every leak we’ve found in your ledger on a recorded Loom or live screen-share.
  • Findings can be in any of: missing change orders, unallocated equipment costs, labor inefficiencies, aging AR over 90 days, lien/bond filings caught before deadline, or any other recoverable dollar surfaced by DataXcel that you hadn’t already actioned.
  • If we don’t cross the $2,000 floor inside 60 days, email refund@xcel.software from your SOW email and we refund your full annual subscription within 5 business days — and you keep every dashboard we built for the rest of the contract year.

Applies to Get-It-All plans only. Explorer (single-user) is for controllers who know exactly which one report they need — the found-money math doesn’t apply at that scope. The Found-Money floor is intentionally conservative ($2,000) so the math always works in your favor — the typical 60-day finding on a $50M-revenue contractor is multiples of that.

On top of the 48-hour and found-money refunds, here’s my personal commitment: if at any point in your first year you decide DataXcel isn’t the best $499/mo your team spends, email me directly and we refund the month, no questions.

  • We refund the month’s subscription within 5 business days — no questions, no escalation, no hoops.
  • Cancel any time. The other two guarantees still apply independently if their conditions trigger.
