The moment that landed hardest
We put 500 real jobs on screen and sorted by margin. The worst one had billed $820,000 and spent $1.7 million on labor. Nobody decides to do that in week one. It happens a little at a time, and the number that tells you arrived after the job was over.
Then we sorted the other way, to the best job on the board. 100% margin.
Show of hands — who wants fifty more like that one?
Except nobody's best job has 100% margin. That job had no labor on it at all. Somebody worked it and their hours landed somewhere else — on one of the red jobs we had just been looking at. Two wrong numbers, one screen, and no month-end report would ever have told you.
That is the whole argument for this product in about ninety seconds.

Nothing changes inside Sage
The first question every contractor asks is what this does to their Sage system. The answer is nothing.

"We never read from Sage 100 Contractor data — but more importantly, we never write to it."
We read from a data warehouse that refreshes from your server every morning. The connection is outbound only, so your server opens it and there are no inbound ports to expose. No VPN, no remote desktop, and you can turn it off in seconds.
WH-347 certified payroll in about two minutes
For anyone running prevailing-wage or federal work, this was the segment that mattered. Pick a job or a saved job group, pick the Saturday week-ending date, and the federal Davis-Bacon form comes out ready to print and sign.

Let's go ahead and get rolling. I think I know everybody on this call, whether they'll admit to knowing me or not, it's probably a separate story. I was given a heads up on DataXcel prior to going to TUG in Salt Lake City back in May or June. I stopped by the booth and was checking out the product. I don't think I let Mike even get five minutes into his presentation. I was trying not to start crying and I was like, "I think I've seen everything I need to see. We need to do a webinar for customers because obviously this is a huge missing piece in Sage 100, the dashboard in relatively easy report creation.
I'll make air quotes around the word easy. So anyway, I asked him to do a webinar for our customers, and that's why we're all here, and I'm going to meet myself, and Mike, go ahead and take it away.
Thanks for having me on. I want to start off a simple question here, and what we see in the industry primarily is that three things. Number one is that Sage has all the data you need, and I mean, all of it. Getting data out of it takes a person, a spreadsheet, and usually a week. Number three is by the time you read it, it's describing the past. Quickly in the chat or unmute yourself, tell me if this is not what you're seeing.
Couple of new clients on here, so they don't necessarily know this yet. No worries. Totally true.
Thank you. All right. That recommendation will move on here. One of the things we also see often is that margin doesn't slip it close out, it actually slips in week three. By the time the job closes and the numbers are wrong, the money is left months ago, and you're not reading a report, you're actually reading a receipt. So what we're trying to do is solve that problem, and just real quickly, we're trying to shorten that distance between what happened and when you know. In order to do that, we see that there's typically major areas where that problem really shows its head.

Again, I'll look for your feedback here. Which one of these do you find most often as something you're seeing in your data? It's missing.
I'm going to say based on my experience with customers, it's usually missing change orders. Yeah. I'd say all four of them.
Yeah. We see them all. That's why we are really here, and we're here to solve that problem, and we'll dive into that in just a second. One last thing I want to talk about is that when you do have a fading job, it's not just the job that impacts you, it's a whole year that's being impacted. It's not because you lost money on that job, it's actually because you've been priced three jobs right after it the same way. That blind spot that you're not seeing is exactly the problem that we're trying to solve with DataXcel by shortening that distance between when it happened and when you see the data.
We're going to jump into the first report here, and this is a public dashboard. When you actually get this deck, you'll actually be able to click on these links and see the exact reports I'm looking at right now and play with the numbers and play with the tool. This is a dashboard. This is inside of DataXcel, so I'm going to expand it. You have on the right our homepage and a way to go search for all the reports that we've built. We have over 90 dashboards that we've built with thousands of reports because some dashboards have a lot more data on them than others.
Dashboards all have these dashboard filters here at the top to make it easy to sort and search data. We'll play with that in just a second. What I want to start with is having you guys look at this margin. On the right, the data we're looking at is a real Sage 100 contractor customer. The data has been anonymized, so all the names have changed, all the information that's anything related to the company has changed, but the numbers are real. The shape of them and everything is real. We're looking at the right-hand side and we're looking at the margin. I'll stop talking for 10 seconds. Just take a look at it.

I'm going to pause here on this one. They've lost 127 percent and the invoice amount is 819,000. It's a big job, but labor cost is 1.7 million. That's a lot of money that is going into this job. To be able to react to this quickly is exactly what this tool is for. Let's turn this around real fast before we dive into reacting to it, and let's look at the other side. Here are our positive jobs. Of these positive jobs we're looking at, right here at the top, we have a job that's $37,000 at full invoice, and you have 100 percent margin.
Raise your hand. If you are this company, do you want 15 more jobs just like this one? We've got some hand-raising going on. Unfortunately, you probably don't. It's because you don't have any labor on this job. This job is not possible to have 100 percent margin on. It's not, but this is bad for more than one reason. It hits you twice. It's not just the fact that there's no labor on the job. It's the fact that it's probably assigned to another job. It's probably assigned to one of those red jobs we were just looking at. We're going to scroll down real quick and we're going to look at job profit by month.
Now, I'm going to show off this dashboard filter feature, and I'm going to select one of these supervisors so we can just look at their jobs. The nice thing about these filters is that it can filter everything you're looking at on a job or on a dashboard, so all the reports can be reacted to that. Now, we can see that for Ashley and her jobs, for the job profit by month, we have 37,000 and then we have 10,000, and then we can see right off the bat where this job went wrong. We can see it's still continuing to go wrong here for some of her jobs as well, so this gives us ability to react instantly to those jobs that are going wrong by having the visualizations you need, and the ability to slice and dice that data as you need, so you can do it by salesperson or you can do it by job number, by contract amount, by job type, and get the data you want to instantly and have it yesterday's data, not data that was printed three weeks ago that you're looking at.

Yeah, back to the deck real quick. Let's go back and look at one more dashboard. Next, what we looked at last was at the job level. Let's zoom out and now look at the company level. Here's a dashboard that's a PM oversight dashboard, and we're looking at the company. Right away, you see some things that are very interesting cost for this company for the year, $7.6 million, total profit, 2.5. Of that cost, labor is 3.9 million. That is about half of every dollar this company spends. If their margin on labor shifts by just 3 percent, 3 percent, the kind nobody notices in the field, that's $117,000 in labor.
That's going to go to direct costs, and that's going to impact your business and impact your profitability and everything else. Just all that more essential to be able to know exactly when those shifts are happening, and be able to indicate and see that data. We can adjust this, of course, again here at the top. If you want to change your overhead percentage, we can make those adjustments and it impacts everything we see here on this report as well. Any questions before we move on? We're going to jump into next, our certified payroll. I have that open right here. For any of you that do prevailing wage jobs, you know what your Thursday already looks like.
Real quickly, unmute yourself or add into the chat, if you will. How long does it take you to generate your certified payroll? Are there general contractors out there? Don, do we have any general contractors with us? No, I think everybody is specialty or subcontractors on this call, but some of them are doing certified payroll. Okay, great. My guess is about a half an hour per job, depending on how many employees you have on there, because you've got up on that. In Sage, it will pre-fill using the Atrix report, but you still have to review everything, and you don't have your calculations set up just right, you might have to manually adjust something, so you've got a lot of jobs, it takes a long time.

One of our customers in particular, when doing certified payroll, used to take her and her staff most of a day every week. They had a lot of jobs and a lot of employees on those jobs, 167 people they pay every week. She can now produce the report in under one hour. So all you have to do is select the job you want to look at, the ending week, and you can put some optional information here as well. The payroll number, all this is optional as well. You can fill that in when the report generates, and then you just hit "Generate", and it's going to tell me that this date is old because it's demo data, which is fine, and I'm going to queue that.
It takes about two minutes to run. This is a report it generates, and like I said, for a customer that has a lot of these and all of our employees, this is multiple pages of employees and data. The nice thing is it also audits the data. So if anything's wrong, it'll tell you quickly what's wrong and why by hovering over it, and then you can go back into Sage and adjust the data. We have a button that allows you to instantly refresh the data from Sage 100 Contractor, pull the data back into our data warehouse, so that you can get that data into the report.
So some pretty cool stuff. Any questions about that? All right. We'll move on. And we're going to dive into WIP reports. So if you, again, our General Contractors is probably a question you're going to get asked quite a bit, especially from your bonding agent, if you know your fade, your over/under billings, and we've answered that question so you can have it on your fingertips rather than right now. Literally, it's always a stale number for you. So quickly going to our WIP report, we have all of our billings at 7.8 million, and we have all of our billing costs at 5.5. So the difference between those, the 2.5, well, a little more 2.7, that's between those numbers is your gap between over-and-under billing.
And more importantly, if you scroll down, this report allows you to see every individual job that's out there running and all of your metrics based on that. We actually have ITD, so Inception Time to Date, we're under Billing Number. And if I click on this, I can see all my negatives. So the negative numbers are all the invoices that you haven't sent. So you've done the work, you have the ability to make the money, but the money is in someone else's bank account, and nobody's tracking it because it's not invoiced, you're not going to get paid until it is. So this is actions that you can take immediately.

Again, the information gets updated every morning or if you click the button, it gets refreshed instantly so you can exactly know where you're at with your over/under billing information. And again, you can ice and dice this data. Go ahead, you had a question, Charlene, go ahead. - So this is a big pain point for the SAGE people right now because it does not, the SAGE report does not automatically include prior year columns with current year columns so that they can reconcile it back to their income statement. As you know, the regular report is only from inception to current. So does your Excel build that in?
It's kind of small, so I'm having trouble seeing it. - Yes, yeah, it absolutely does. Let me make that a little bigger. So to answer your question, yes, it automatically does that for you, but more importantly, we even do a snapshot. So daily, we take a snapshot of all your data, it allows us to do variances on the data that's being reported on. So we can do a variance on anything. But typically, we really, as customers, really like to get the data that's about billing and about contract. One of the things that isn't audited in SAGE 100 Contractor is your contract amount.
And so one of this customer in particular was really excited to have the variance on the contract amount. It sells people that would change the contract amount. And so to be able to come in here and quickly sort by the contract variance and see who changed the value from what allowed them to go back to those sales people, product managers, and find out why that contract was changed. So hopefully that answers your question, Char. - OK, yeah, no worries. I'm sure we can dive into it deeper there. Thank you. - Yeah, absolutely. Cool. - Can you get current month revenue generated out of that report?
- Yes, yeah, absolutely. So we have the dates right here. So using this report specifically, we could change the dates to show the current month. So I would just go to the current month and do the first and say update filter. So this would be our current month date. There's also reports that are built in to do that. Or we have dropdowns that allow you to say current month. And so like I said, we have over 90 dashboards. This is just an example of one of them. - Excellent, thanks. No problem, thanks for the question. Yeah, so those are the demos I wanted to show you and the story of basically how we can demonstrate the data quickly.

I'll get to Q&A really fast, because I'm sure we'll have more questions. And I'd love to dive into things like how our AI reporting works. We have an AI bot that allows you to examine any data in your data warehouse. We have the ability to pull data in from any data source, as well as being able to use Connect to Smart Sheets or Monday.com or Google Sheets. We can do projections for forecasting. We can do projections for sales forecasting, project forecasting, estimation, all the above. So much more that we can do in the short time that we have. Before we get to the question and answer, I wanted to quickly just tell you about how our software is built.
Nothing is ever going to impact your data in Sage 100 Contractor. Because we have a data warehouse
that we pull the data from every morning, that's the data we read from. We never write to Sage 100 Contractor. This is an outbound only connection, which is what matters for your security. Your server opens the connection and we don't need to open up any ports on your firewall. You can revoke access anytime in about 30 seconds. Unlike handing someone VPN access or a remote desktop login to your server, this access you can give to anybody and take back just as fast. They do not need to know Sage 100 Contractor at all. They can simply have the report delivered to their inbox on a schedule.
And we are an authorized Sage 100 Contractor Development Partner. Once we have assigned agreement, DataXcel can be live on your server within 48 hours. In fact, we guarantee it. And it's in writing. Or you can ask it to build a report. So it does a little better if I'm actually on a report. So let's go to employee capacity by volume and trade report. And I'm gonna open up the bottom window and I'm gonna say, how many field form in one do we have?
And I'll make the screen bigger so everybody can see it. And so here's our field form in one. It looks like we have, well, this is the position. So we have one position. So we're gonna find out exactly how many workers have that title. And then we could ask something else about changing reports. So let me go back to the dashboard while that's thinking for a second and let's open up the leadership oversight dashboard. And in this one, I'll say, let's see, go to an actual,
yeah, so let's add supervisor, add two. All right, so while that's running, we'll come back here and see if this answered the question. So it gave us a report. So the answer is five here on the screen and it built this report for us. So this is gonna be all employees. So these may be no longer active employees in the system. Oh yeah, it only kind of happens when they're there. And it gives an active employee report as well. So that's the, any questions on this one? Go back to the other one. All right, so for this one, we asked it to add the supervisor.
So it did that. And so here's the supervisor on that report. So if we go look at the original report, there's a leadership oversight. So you can see there's no supervisor here, but there is a supervisor that added to this report. And then if you want to save that, you just click the save button and you can choose to overwrite the existing report or to create a new report. Let's see, we got a new guest. One thing that I find kind of interesting about this, this for anybody who's a newer client, this would not necessarily be meaningful to you, but for a long time clients, the one thing I like here is, you know, multiple tabs and multiple report inquiries going on at the same time.
I think that's pretty handy to be able to ask a question, let it go about its business, compiling the data for you and move on to something else. That was one of the things I really liked when I was looking at this.
Yeah, that's a great point, Jon. And this is using cloud under the hood. And so like the difference between copying and pasting your data and just cloud and doing it yourself is number one, the security aspects of it, we're using an enterprise version to connect to cloud. So all your data is gated. But number two, build a bunch of models to be able to respond to your data and it understands how segmental contractor works. So the answers you're going to get are going to be way better than you get if you're just clearing cloud directly without all the context and answers.

And as you can see, it's actually building reports. It's not just giving you a random number. It's actually basing the number on real data, which if you've played with AI at all, you know that the biggest problem with AI is hallucinations and bad data. And so you just can't afford that with finance for what you're looking at. It has to be accurate, it has to be right. And so that's one of the big advantages of using cloud built into our system. What else would you guys like to see? - Well, if everybody's gonna be shy, can you show us some additional dashboards?
- Yeah. - Yeah, I was thinking like a revenue produced per hour worked. - I don't have that exact one, but I have, I just think what I do have. - Are you calculating that manually, Matt, now? Or are you picking, okay. - Yeah, so I'll just run an hours report. And then I go by department to try to figure out what my each department is producing in revenue per hour or whatever to me. - So Mike, even if you don't have that specific dashboard currently, that's not something that's complicated to build if that data on just within Sage. - Yeah, I'll give you a real quick, so this is an example of calculate hours, right?
But I'll give you a better example of possible report. So we built a cash basis report. - Oh my God. - Inside of safe 100 contractors. So we have our accrual accounting. You have your cash basis that you can look at, which is great to be able to, if you're coming from a cookbook world and you're still using cash basis as your taxation, or if you just wanna be able to depreciate something for the tax year or buy something and appreciate it. And then we have our cash versus accrual, so you can see them side by side as well. So this was probably the most difficult report, not probably, this was the most difficult report we built.
And we've had requests for all different kinds of reports. And we've never said, no, we can't build that for any reports that's been asked for so far. So here's the gauntlet thrown to everybody on this call. Give us a report we cannot build. Send me a spreadsheet of exactly what you're looking for. And I will put a sample together on our demo data. - Okay, all right, Rick, you got a question? - Yeah, we were just talking, but I think you kind of answered it too here. We have a regular cash flow report that we look at weekly. If again, like if we were to give you the template, 'cause you take it for us and it would help our accounting team to save time and generating a report every week.

- Yeah, that's how we got started in this business. We fell into it by accident, honestly. We had a few contractors reach out to us and ask if they could help, we could help them build reports. One of the first ones we built was the profitability report and a commission's report. And each of those were taking the customers roughly 20 hours a month to build. And so we built them and then we had another customer come and another customer come and we're like, oh, maybe we should build a product, right? And so that was about two years ago that we started doing that.
And since then we just keep on building more and more reports and the product gets better and better. And that's one of the best things about this product is that it's a community, not a single product built for you. We build reports across industries and across platforms and the best of them gets shared out to everybody. If you give us permission to use it. Go ahead, Cindy. - Right now I currently have limited reports and I'm wondering if this could replace it. - Absolutely, yeah. We have- - Okay. - Yeah, 100%. - It looks a little bit more powerful, actually. - Yeah, the biggest difference between us and Liberty Reports is honestly the fact that if you're a controller and you're sitting in a room and there are two reports at a table and someone says, hey, my revenue is 200 million and mine is 201 million.
Well, why is it different? We both use Liberty Reports. We both use the format to get the same number. How is it different? Well, in Liberty Reports, if I build a report and you build a report and we use different formulas in the same number, as a controller, ultimately it falls back on you to determine which one's right. Which, I'm sure somebody had that experience already. Whereas in our system, there's only one source of truth. And when you build it, you can share it with anybody. So real quickly, if we go to one of these other reports, let's go to the balance sheet.
So I haven't looked at that one yet. I can come in here and I can set a subscription and I can have an email to any user in the system. And again, this is up to you to decide who gets what data and our data is completely permissionable. So you can lock people down to a single report. You can lock people down to a number that they're gonna get. A lot of people have us divided out by department. So they'll learn an income statement and a balance sheet and reports by department. And they're allowed to see their department, but they're not allowed to see any other department.

And that's super easy for us to do based on the granular ability for us to lock down permissioning to any system. And then this email, when it's set up, you can even set it up to be a PDF. You can set it up to have attachments of cell. And I can pick exactly which type of format I want and which tables get sent. And when I get this in the email, it'll look exactly like it looks on my screen. It won't look any different. I can click on it and it'll take me straight to the report. - I was gonna say the other challenge with Liberty is even if you can get your reports built in there, which I gave up on that a long time ago, actually letting other people interact with them is not an easy task.
- No, it's not. Well, yeah, like you said, building on this another challenge. But do you have any idea of the cost comparison? - Yeah, cost comparison, we're probably cheaper when it comes to, or not probably, we're definitely cheaper when it comes to building reports. We get to build reports way faster and way cheaper. Our monthly cost is gonna be a little higher, but when it comes to maintaining and making sure reports work correctly,
ultimately it's not about how good the report looks, which I think our reports look great, but it's about how accurate the data is and how timely the data is, which is the more important thing. And that's why the subscriptions are so important. You can get that into the project manager's hands, the estimator's hands, into the department lead hands. The faster they can see the missing data, the missing changers, the job fades, all the issues we're talking about. And so your company's gonna save way more than they're going to pay for our software. And you'll be happily surprised how inexpensive our software is.
- I just needed a generalized answer, thank you. - Also, Cindy, you weren't on for this part earlier, but this is not based on your users. That's the other challenge of Liberty Reports, is if you're trying to distribute those reports to users, they don't need licenses here. It's a different model. - They don't make sense to read all these. - Yeah. - Yeah, we actually give you full access. So this isn't a shared instance of our software. This is a dedicated instance to you. You have complete control of the admin page. You get control of what permissions they have. We built in a bunch of pre-formatted type roles that we think you can use.

But again, we get most of our customers actually wanna customize them down even further to have very, very granular access. - Like within that balance sheet report, how much drill down capabilities is there? - Yeah, that's a great question. And it's unlimited, is the answer. So we'll kind of demonstrate that for you. So over/under billing, WIP, like you can call it whatever you want, right, bonding. Everybody has a different flavor, the same report they wanna see on different format. And so we built a lot of them. And this is just another example. If we come in here, you can see your numbers are drillable.
Any number, any one of these columns could be made drillable. And so the way you do that is you just come here and click edit, and you click this little click behavior button. And then you're gonna click the row or the column that you wanna make clickable. And then you can set it to go to a custom dashboard or say a question or a URL. Meaning I can even connect you to paperless. So if you have paperless and you wanna see the actual receipt connected to voice, I can set it up so all that works automatically. This was a clickable button.
And so it can be set up to do any type of customized drilling that you'd like. And I'll just demonstrate it real fast. But this one is gonna take us to our job cost tracking. It's going to preset our job cost tracking job number as a filter in the dashboard filter. And then so what we're looking at here is all the job costs just for job 101. And every report on this page is now locked that 101 job. And if I clear that, then I'll get data for all jobs that are gonna come back. So now I'm looking at all 5,000 jobs that are in the system.
And again, like this is another example of a drill down. So I've drilled into this report. So now let's say I wanna go drill into the job cost tracking and I click on the company. And now it's gonna take me to all the cash positions which didn't make sense. I actually set this up for a customer yesterday just demonstrate it and keep drilling down farther and farther. And, you know, but that first drill wasn't a very good actual drill that we'd set up. That is your question. - Yeah, do you have like a report already set up for like lag between last labor worked on a project and billing?

- Last labor worked on a project and billing. Report for anybody that does liens make sure you get them filed and they'll notify you how long it's been. - Hey, Mike, I think he's trying to figure out the last day labor was worked on a project and as they build for the project yet. And then one of the other things he can you talk about 'cause there's at least a couple of people on here have multiple companies. Can you talk about how that works? - Absolutely. - So I think this one does. - Yes. - Yes, we do it. I don't remember where it's at.
So let's book a 15 minute demo or follow-up meeting and we'll dive into that exact question. Regarding multiple companies, they, one of the, that's what the second customer had was a multi-company customer and they wanted to have a roll-up report. And so their balance sheet that we built has another dashboard filter that's right here that says company name. And so if you don't have it set, it'll show you all the companies. If you hover over these, you give you the value and you click on them and it'll actually load your balance sheet to that date. And for his, if he selects the company that he wants to see, he can just view that or he can review all together at once.
The big reason he wanted us though, was actually the balance sheet was nice, but he had vendors across all of his companies and he's over a hundred million dollar company. And so he had no way to beat vendors up on price because he didn't know how much he was paying across the seven companies he owned. Rolling the data together, he was able to see the exact dollar amount that he paid each vendor and then go back to them and be able to beat them up on price and say, "Hey, I pay you X million a year in products that I purchased from you.
I want your prices of rates by 3%. I want those to be good for him." But we do have about five other customers now that do multi-company as well. So easy to do. I know we're officially one minute over, but I'm happy to take more time if anybody wants to stay around and ask more questions. - I just want to thank everybody for taking the time to come today. I think this is a pretty interesting tool that addresses. I feel like every ERP has reporting challenges because accounting is accounting and there's a lot of data and information in Sage 100. And it's not that we can't build reports to get that data out, but at the end of the day, believe it or not, I don't want to be building customer reports for everybody.

I think it's much better if you have a system where you can ask the questions and get the data that you need. And more importantly, there's other people in your organization who need information who maybe you don't even want to let it to Sage 100. And this seems like a good mechanism for doing that and they don't have to be in the office and they don't have to log into your cloud server or your on-premise server.
